Why a Paper Visitor Register Is a Liability for Your Office

A sign-in book at reception feels like it's doing its job — names are being recorded, after all. But a sign-in book answers a narrower question than it looks like it does. It tells you who has ever visited. It doesn't reliably tell you, at any given moment, who is actually in the building right now — and that second question is the one that matters in an emergency.
The specific gap: checkout is optional in practice
A visitor signing in is habitual — it's the first thing at the desk. A visitor signing out on the way past reception, often distracted or in a hurry, is not habitual in the same way, and it's frequently skipped. The book ends up with names that were checked in and never formally checked out, which means "who's currently inside" can't actually be read off the page — it has to be guessed.
Why that specifically matters during a fire drill or an actual emergency
An evacuation headcount depends on knowing who's supposed to be in the building. A register with uncertain checkouts can't give a reliable answer to that in the moment it's needed most — and that's not a hypothetical risk, it's the entire reason visitor logs exist as a safety practice in the first place, not just a formality.
What a proper check-in/check-out system changes
Our Visitor Check-In / Check-Out Log records name, phone, company, purpose, who they're visiting and an ID/badge reference at check-in, and keeps a live "currently inside" list with a dashboard counter — a real-time answer to the one question a paper book can't reliably give. Check-out is one click, a visitor can only be checked out once, and the recorded times can't be overwritten after the fact, so the record stays trustworthy instead of editable after someone remembers something differently.
Visit duration is calculated automatically, and a daily report for any date shows total visitors, how many are still inside, and the average visit length — useful both for day-to-day front-desk awareness and for looking back at a specific date if it's ever needed.
It's a front-desk log, not an access-control system — it doesn't print badges, take photos, scan IDs, or send host notifications out of the box. For an office, coworking space or facility that mainly needs a reliable answer to "who's actually inside right now," that's the right scope, and it pairs well with our Event Registration & Check-in Manager if the same building also runs public events separate from day-to-day visitors.
FAQ
Can a visitor be checked out twice or have their times edited?
No — a visitor can only be checked out once, and once check-in and check-out times are recorded, they can't be overwritten.
Does this show who is currently in the building right now?
Yes — that's the core feature. A live "currently inside" list and dashboard counter are always available, which is exactly what a paper register can't reliably answer once checkouts start getting skipped.
Does this print visitor badges or take photos?
No — it's a check-in/check-out log, not an access-control or badge- printing system. Those would be realistic customizations on top of it.
