A ready-to-deploy PHP and MySQL quotation maker. Build a quote for a client line by line, add discount and tax, mark it sent and record whether the client accepted. Sent quotes are locked so what the client saw never changes; to change one you revise it into a new draft.

This overlaps in part with our Simple Invoice & Billing Generator (both have clients, line items and totals); this product is built around the quote workflow (validity, acceptance, expiry, revisions) and does not create invoices. It does not convert an accepted quote into an invoice automatically, send emails or PDFs (use the Print button to save as PDF), handle multiple tax rates or GST split, or take signatures or online acceptance.

Key Features

What the client saw never changes

Once a quote is marked sent, its items, prices, discount, tax and validity are locked. To change anything you use "Revise as new draft", which copies the quote (and links it to the original) so the history stays honest.

Validity is enforced

Each quote has a valid-until date. A sent quote past that date is shown as Expired and cannot be accepted, while one valid until today still can. You cannot send a quote whose valid-until date has already passed.

Exact totals

Line amounts, discount and tax are calculated in integer paise: 3 items of 333.33 make 999.99, and a 10% discount then 18% tax on 3,499.99 gives 3,716.99. Totals are recomputed on the server after every change.

Safe under simultaneous use

Editing, sending, accepting and rejecting all lock the quote first. In our tests, eight people adding items at once produced the exact total, and eight competing accept/reject clicks produced one final decision.

The full, unobfuscated PHP source and a MySQL schema file ready to import, with the default admin login seeded. Setup takes about 10-15 minutes on any standard PHP + MySQL hosting.

Technical Requirements

PHP 7.4+ (tested on PHP 8.5), MySQL 5.7+ or MariaDB 10+ (tested on MySQL 8.0), and the mysqli extension. Plain PHP, no framework dependency. Every form is CSRF-protected and all database access uses prepared statements.

Frequently Asked Questions

Can it create an invoice from an accepted quote?

Not automatically in this version. It is a quotation tool; you would create the invoice in your billing system.

Can I email the quote to the client?

No email sending. Use Print and save as PDF, then send it yourself.

How is this different from your invoice generator?

It has quote-specific rules: validity dates, expiry, accept/reject and revisions. It does not do invoices, payments or GST filing.

Is the commercial license included?

Yes — every purchase includes a genuine commercial license for your own business or client work.

Is it tested on PHP 8?

Yes — every page was tested end to end on PHP 8.5 with MySQL 8, including bad-input and concurrent-request checks.
