A ready-to-deploy PHP and MySQL payroll generator. Add your employees once, then each month click one button to create everyone's payslip. Adjust absent days, bonus and other deductions on each draft, finalise the month, print the payslips and mark them paid. The maths is done in paise so every payslip adds up exactly.

IMPORTANT: this is a simple payroll calculator, not a statutory compliance system. It does not calculate income tax (TDS), professional tax, ESI or employer PF contributions, generate Form 16 or challans, prorate a joining month, handle leave balances or overtime, or send payslips by email. Check your statutory obligations separately. PF here is a single percentage of basic salary deducted from the employee (PF_PERCENT in config.php, default 12).

Salaries are snapshotted

Each payslip stores the basic pay and allowances as they were when it was created. Raising an employee's salary next month does not change last month's payslip.

A workflow that protects paid months

Drafts can be adjusted or deleted. Once finalised a payslip is locked; only a finalised payslip can be marked paid, and only once. Eight simultaneous edits racing a finalise in our tests ended with a consistent, frozen payslip.

Exact to the paisa

Absent deduction is fixed pay x absent days / days in the month, computed in integer paise: 10,000 over 31 days for one absent day is 322.58, and every total adds up.

Idempotent monthly run

Creating payslips for a month twice, or from two browser tabs at once, still gives exactly one payslip per employee.

Technical Requirements

PHP 7.4+ (tested on PHP 8.5), MySQL 5.7+ or MariaDB 10+ (tested on MySQL 8.0), and the mysqli extension. Plain PHP, no framework dependency. Every form is CSRF-protected and all database access uses prepared statements.

Frequently Asked Questions

Does it calculate TDS or ESI?

No. Only the simple percentage PF deduction, absent days, bonus and other deductions.

What about an employee who joins mid-month?

They are included from the month they join, at the full month's pay. Enter their missing days as absent days on the draft.

Can employees see their payslips?

Not in this version. Staff print or share them.

Is the commercial license included?

Yes — every purchase includes a genuine commercial license for your own business or client work.

Is it tested on PHP 8?

Yes — every page was tested end to end on PHP 8.5 with MySQL 8, including bad-input and concurrent-request checks.
