Tracking Blood Stock and Donor Eligibility

By Prakash Panthi, Founder · Published September 22, 2026

Blood units expire. Donors have eligibility windows — minimum age, maximum age, a minimum gap since their last donation. Both of those facts are simple on their own. Tracking them correctly, every single time, across a growing register of donors and units, is where a manual system starts to strain.

The specific risk: an expired unit that still looks available

A unit collected 45 days ago should never be issued — it expired two weeks past collection. In a register, that fact only matters if someone calculates the expiry date correctly and checks it every time, for every unit, under time pressure. Miss that check once and an expired unit looks identical to a fresh one on the page.

Donor eligibility is a rule, not a memory

Minimum days between donations exists to protect the donor, not just the blood supply. Enforcing it by memory — "I think they donated recently" — isn't the same as actually checking the date against a rule every time someone walks in wanting to donate again.

How our Blood Bank Manager applies these rules automatically

Our Blood Bank Manager keeps a donor register with blood group and date of birth, and checks eligibility against configurable minimum and maximum age and a minimum gap since last donation — before a new donation is recorded, not after.

Every donation creates a numbered unit (BU-00001 and up) that's set to expire automatically 42 days after collection. The stock dashboard counts only usable units by blood group, with expiring-soon flags and a separate expired-to-discard list, so a unit past its date simply can't be issued — there's no state where an expired unit still reads as available stock. A unit can be issued exactly once, and a donor's recorded blood group is locked once they've actually donated, so it can't be edited after the fact.

One thing worth being direct about: this is a record-keeping and stock tool. It does not replace laboratory testing, screening, cross-matching or compatibility checks, and it doesn't make medical suitability decisions beyond the age and interval rules you configure. Component separation, test-result tracking and reservations aren't part of it either. Those remain your team's clinical responsibility — this product's job is just making sure the paperwork side can't quietly go wrong.

FAQ

Can an expired unit be issued by mistake?

An expired, already-issued or discarded unit cannot be issued — the system checks its status before allowing an issue, not the person doing the issuing.

How is donor eligibility enforced?

Configurable rules for minimum/maximum age and minimum days since last donation are checked automatically before a new donation is recorded.

Does this replace blood testing or screening?

No. It's a record and stock tool only — testing, screening and compatibility checks remain your facility's responsibility under your local regulations.
