Send Professional Quotations Without Retyping in Word

By Prakash Panthi, Founder · Published September 22, 2026 · Updated September 22, 2026

A quotation is a slightly odd document: it needs to look final and professional, but it also needs to change — a client asks for one more line item, a price gets revised, a validity date passes. A Word template handles the "looks professional" part fine. It has no good answer for the rest.

The specific problem with editing a quote after it's sent

Once a quotation has gone to a client, quietly editing the same document and resending it creates a real ambiguity: which version did they actually see, and which one are they agreeing to if they say yes? Without a system that treats "sent" as a locked state, it's easy to end up with a client who accepted the ₹40,000 version replying to what's now, unnoticed, a ₹45,000 file.

Why validity dates get ignored in practice

Most quotes carry a "valid until" date, but in a document template that date is just text on the page — nothing stops an old, expired quote from being accepted weeks later at a price that's no longer accurate for material costs, staff time, or whatever else it was based on. The date only protects anyone if something actually checks it.

What tracking acceptance actually solves

Beyond the document itself, the real operational question is usually "how many of our outstanding quotes are likely to convert, and which ones are about to expire unanswered." That's not something a folder of PDFs can answer — it needs quotes to carry a real status (sent, accepted, rejected) that can be counted and filtered, not just filed away once they're sent.

How a purpose-built quotation tool handles this

Our Quotation Maker builds itemised quotes with quantity, unit price, discount percentage and tax, with every total worked out in paise so figures always add up exactly. Quotes move through Draft, Sent, Accepted, Rejected — and a Sent quote past its validity date automatically shows as Expired, without anyone needing to check the date by hand. Sending a quote locks its line items, so what the client is looking at can't silently drift; changes are made with "Revise as new draft," which copies the quote into a new draft linked back to the original rather than editing the sent version in place. An expired quote can't be accepted — but one that's still valid until today can be, right up to the deadline.

Every quote gets a sequential number (QT-00001...) that never repeats, prints cleanly for the client, and the dashboard shows win rate and quotes about to expire, so following up on the ones that matter is a glance, not a search through old emails.

It's worth being direct that this overlaps in part with our own Simple Invoice & Billing Generator — both have clients, line items and totals — but this product is built specifically around the quote workflow: validity, acceptance, expiry, revisions. It does not automatically convert an accepted quote into an invoice, send emails or PDFs directly (use the Print button to save one), handle multiple tax rates or a GST split, or collect signatures or online acceptance. For a business that mainly needs a clean, trackable quoting process before work is invoiced separately, that's the right tool for that half of the job.

FAQ

Can a client accept an expired quote?

No. Once a Sent quote passes its valid-until date it automatically shows as Expired and can no longer be accepted — a quote still valid until today can be.

What happens if I need to change the price on a quote I already sent?

Use "Revise as new draft," which copies the quote into a new linked draft. The original Sent quote's items stay locked, so there's never ambiguity about which version a client actually saw.

Does accepting a quote automatically create an invoice?

No — this product handles quoting only. It does not automatically convert an accepted quote into an invoice; that's a separate step.
