How to Customize a PHP Hotel Management System

Buying a ready-made hotel management system gets you most of the way, but every property is different: a different tax label, an extra field on the guest register, your own logo on the invoice. This guide walks through the real customisation points of the Hotel Management System in PHP sold on phpguru.store, based on its actual file structure, not a generic tutorial.
How the code is organised
There is no framework. Every screen is one PHP file in the application folder that starts by including config.php (database connection, session, CSRF helper), includes/auth.php (login and role checks) and includes/layout.php (page header and footer). Shared hotel logic lives in includes/hotel.php: settings, the nights calculation, the free-rooms query and the folio totals. List-and-form screens such as guests, rooms and room types are built with includes/crud.php, which renders the form and the list from an array that describes the fields.
Step 1: settings, not code
Hotel name, address, phone, tax label and percentage, check-in and check-out times, the invoice footer note and whether the public booking page accepts requests are all on the Hotel Settings screen. Nothing to edit in files.
Step 2: add a field to the guest register
Say you want a vehicle number on every guest. Three small changes:
- Add the column in phpMyAdmin:
ALTER TABLE guests ADD vehicle_no VARCHAR(20) NULL. - Open
guests.phpand add one line to the fields array:'vehicle_no' => ['label' => 'Vehicle number', 'max' => 20],and add'vehicle_no'to thelistarray if it should show in the table. - Done. Validation, escaping, saving and the list column come from the shared CRUD helper.
The same pattern applies to rooms (rooms.php) and room types (room_types.php).
Step 3: change the invoice
invoice.php is plain HTML with a print stylesheet. Add your logo with an image tag next to the hotel name, add a GSTIN line under the address, or reorder the columns. The figures come from the invoices table, which is written once at check-out, so layout changes never alter the amounts.
Step 4: a fixed menu of extra charges
Extra charges are free text with an amount. If you want a fixed menu (breakfast 250, laundry 300), replace the description input in booking.php with a select list whose options carry the amount, and keep the server-side check that the amount is more than zero.
Step 5: seasonal rates
The product ships one rate per room type and lets managers override the rate per booking. For a seasonal calendar, add a rate_periods table (room_type_id, from_date, to_date, rate) and, in booking_new.php, look up the rate per night before the booking is inserted. Keep the existing rule that the rate is copied into the booking, so later changes never touch old stays.
Common mistakes
- Editing files without keeping the original ZIP: keep it so you can diff later.
- Changing the database without a backup before an
ALTER TABLE. - Removing the
FOR UPDATElock inbooking_new.phpor the status guard in the check-out update: they are what prevent double bookings and double invoices.
When to ask for help
Settings and field additions are safe for anyone comfortable with phpMyAdmin. Changes to the booking or check-out logic are worth a developer; the installation add-on and the PHP Gurus on this site can quote for them.
