Stop Approving Employee Leave Over WhatsApp
By Prakash Panthi, Founder · Published September 22, 2026
A lot of small teams run leave requests the same informal way: someone messages their manager on WhatsApp, the manager replies "sure, go ahead," and that's the whole process. It's fast, and it works right up until two people end up approved for the same week nobody checked coverage for, or someone's "go ahead" turns out to be their eleventh day of leave against a balance of eight.
Why a chat approval has no balance behind it
Saying yes to a leave request in a chat thread is a social approval, not a checked one — nobody's actually looking at a running balance before replying, because there usually isn't one to look at. The balance exists, vaguely, in whoever's memory happens to be tracking it that week, which means it's really only checked when someone thinks to ask, not every single time.
The day-count problem nobody notices until payroll
A leave request spanning a weekend or a public holiday needs a real rule for what actually counts as a day off — and doing that arithmetic consistently by hand, request after request, is exactly the kind of small calculation that drifts. It's rarely wrong by a lot. It's wrong just often enough that leave balances and actual days taken stop matching by the time someone reconciles them.
What a real approve/reject workflow changes
Our Employee Leave Request & Approval System gives every employee a real, per-employee annual leave balance and configurable leave types (Casual, Sick, Earned, or your own). A leave request's day count is calculated automatically, not eyeballed, and approving a request checks the employee's remaining balance first — a request that would take someone below zero is caught at approval, not discovered weeks later. Once approved, the days are deducted automatically, so the balance shown is always the real, current number.
The request list filters by pending, approved, rejected or all, and the dashboard shows the pending count, who's on leave today, and this month's approved total — the exact questions a manager actually has at a glance, rather than a scroll through a chat history to reconstruct who asked for what.
It's a leave-request workflow tool, not a full HR/attendance/payroll suite. If daily attendance marking and payroll need to sit alongside leave management, our Employee & Attendance Management System is built for that combination instead.
FAQ
Does approving a request check the employee's actual balance?
Yes — the remaining balance is checked at the moment of approval, and the approved days are deducted automatically. A request that would take someone below their balance is caught there, not after the fact.
Can leave types be customized?
Yes — Casual, Sick and Earned are included as a starting point, and additional leave types can be added to fit how your business actually categorizes time off.
Does this also handle daily attendance and payroll?
No — this product is scoped to leave requests and approvals specifically. For attendance marking and payroll together, see our Employee & Attendance Management System instead.
